HOTEL
POLICIES
Sixty Day Commitment
Due to fluctuation of prices, the Hotel may not make a firm
price commitment until 60 days prior to a function.
Guarantee
In arranging for private functions, the attendance must be
definitely specified seventy-two hours in advance. This
number will be considered a guarantee, not subject to
reduction and charges will be made accordingly.
Cancellation
Cancellation of any function must be made in writing a
minimum of thirty days in advance of the scheduled date.
Unless a comparable function can be booked, there will be a
fee of 25% of the original total contract price.
Cancellation policy is subject to change, based on date and
size of event, and will be disclosed at time of booking.
Credit
All charges must be paid in full upon completion of
scheduled events, unless credit arrangements have been made
with Best Western Grand Seasons Hotel in advance.
Service & Tax
For the service of all personnel, 18% service charge is
applicable to all food and beverage charged to the account.
This service charge is taxable by law.
5.5% State Sales Tax will be added to your account unless a
tax exempt certificate is presented to the Catering Office
in advance.
Room Assignment
Best Western Grand Seasons Hotel reserves the right to alter
room assignments unless otherwise specified.
Mechanical Requirements
All necessary equipment arrangements should be made through
the catering office in advance.
Special Needs
Please supply information regarding arrangements,
audio-visual needs, dance floors, podiums, etc., at least 10
days in advance.
No decorations or visual aids may be attached to walls,
ceiling or equipment without specific approval of the Best
Western Grand Seasons Hotel Management.
Food & Beverage Policies
The sale and service of alcoholic beverages are regulated by
the Wisconsin State Liquor commission. As a licensee, Best
Western Grand Seasons Hotel, is responsible for the
administration of these regulations. It is a policy,
therefore, that liquor cannot be brought into the function
rooms of the hotel from outside sources. [Wis. Statue
125.32(6)] Alcoholic beverages will be dispensed, by a
licensed bartender at all events. Everyone consuming
alcoholic beverages must be of legal age.
According to Wisconsin Administrative code (DH & SS, Section
196.07), no food may be allowed in any function room of the
hotel from outside sources. Any food not consumed during a
function remains property of the Best Western Grand Seasons
Hotel.
Security
The hotel may require security personnel for groups whose
size, program or nature indicates such need.
Responsibility
Loss or damage of a group's displays, decorations, or other
property brought into the premises will be the sole
responsibility of the group or organization.
